Line and Paragraph Indentation in Reference Tracker's Formatted Lists

If your require line or paragraph indentation in your formatted reference lists, Reference Tracker's formatted reference list editor window can setup these indentations for you.

When using our Reference Tracker application setting line/paragraph indentations is done using the rulers interface in the formatted reference list editor window. Open a Reference Tracker document, and click the Generate Reference List button to open the formatted list editor window. If the ruler is not visible between the window's toolbar and the formatted reference list click the Rulers button on the toolbar.

Adjusting the settings in the ruler affects only the selected text, therefore if you want to adjust settings for the entire list, you must select all the text (with Edit > Select All from the menu, or with Command + A on your keyboard).

The small horizontal bar and the small downwards pointing triangle on the left edge of the ruler adjust the indentation of the selected text.

Dragging the horizontal bar to the left will indent the first line of a paragraph; dragging the triangle will indent every other line in a paragraph after the first.

Once you have your indentation set as required, you can use the 'Send To' feature or use copy/paste to get your formatted list into your word processor document. Your indentation settings will remain in place in the word processor. The ruler s the same as is used in other Macintosh applications and can also adjust other paragraph settings, such as tab stops, justification and line spacing. Note however that changes to paragraph settings are not saved if you close the editor window.

The Harvard Style, also known as the author-date system, is a style of citing and referencing published material when writing and preparing documents. The Harvard style is commonly used by British-based universities and other educational institutions. The style has been standardized by the British Standards Institution (BSI) in their publication Recommendations for citing and referencing published material. This article describes how to present different types of publications in a Harvard style reference list or bibliography.

Note that the Australian Government Publication Service (AGPS) style guide is also referred to as Harvard, but differs from the British system described here. We will cover the AGPS style in a future article.

Our Reference Tracker application for Mac OS X can manage your citations and references for you and automatically create Harvard formatted reference lists. Download our free trial to try it out.

Importing Reference Lists from Word Processing Documents into Reference Tracker

Reference Tracker, our reference and citation management software, has the ability to read in reference lists and bibliographies that have been typed out manually, or otherwise created, in a word processing document. As long as the references are formatted in one of the styles that Reference Tracker works with, the publications in the word processing file will be added as references in a Reference Tracker document.

Importing and understanding text in a regular word processor file can be a bit difficult for a computer application, simply due to the vagaries of the English language, so Reference Tracker's importer will give you the opportunity to look over its work and make any corrections if necessary.

To begin the import, open a new or existing Reference Tracker document and select 'File > Import > Formatted Reference List'.

A dialog will appear outlining the requirements for importing a formatted list. After reading it, click continue and you will see an open dialogue where you can select your word processing document containing the reference list.

After you select your file Reference Tracker will ask which formatting style was used in the file. Select the appropriate style from the pop up list.

Reference Tracker's importer will then scan the file and try to extract all the Reference information it finds. You will then see a window where you can see the results and make any corrections if necessary.

The top half of the window shows the contents of the file you imported. Reference Tracker will highlight the first piece of text it believes to be a reference in green. The popup menu in the middle of the window shows the type of publication the importer believes the reference to be (i.e. a book, of journal article, etc). If the importer has chosen the wrong publication type, you can correct it by choosing the correct type form the pop up menu. The bottom half of the window shows the information that the importer has extracted for the reference (such as the title, author, publisher, etc). If any of this information is incorrect, you can correct it by typing into the appropriate field in the bottom half of the window, or by copy/pasting from the file contents in the top half of the window into the bottom.

Once you have confirmed that the Reference information is OK, you can check the next reference in the file by clicking the button with the right-pointing arrow. If the importer has found some text that it believes is a reference, but in fact is not, you can discard it by clicking the "Discard this reference" button. When you have checked all the references are OK, click the "Accept All & Import" button, and the references will be added to your Reference Tracker document.

Importing Google Scholar Results To Reference Tracker

If you are a writer, student or academic, you have no doubt used Google Scholar, Google's extremely useful search engine for journal articles, books and other scholarly materials. If you use our Reference Tracker application to manage your references and citations, you may find it useful to know how to import articles found via Google Scholar into Reference Tracker documents. This guide will show you how.

References from Google Scholar are imported to Reference Tracker using the BibTex (.bib) format. This feature needs to be turned on in your preferences for Google Scholar. So, to begin, visit http://scholar.google.com/ and click on the "Scholar Preferences" link.

At the bottom of the preferences page, there is a section titled "Bibliography Manager". In the section select the option "Show links to import citations into BibTex", then click the "Save Preferences" button.

Now when you search in Google Scholar you will see a link after each result titled "Import into BibTex" These preferences will be saved, so you will not need to repeat the preceding steps when you subsequently want to import search results to Reference Tracker.

Clicking on the link with show you the BibTex reference data for the article or book.

Save this reference by sleeking "File > Save As&" or "File > Save Page As&" in your browser, and save the file to your Desktop. (Note, if your browser wants to append a '.txt' extension to the end of the file name, you should remove it. The file extension should be '.bib')

Now open the Reference Tracker document you wish to import the reference into. With that document open, select "File > Import > BibTex/RIS File&"

Select your saved BibTex file in the file browser and click the "Open" button. The reference from Google Scholar will now appear in your Reference Tracker document.
